Your restaurant location is the heart of your online ordering system. This guide focuses on setting up and managing one business location effectively.

Why Your Location Matters

Your location information is used for:

  • Delivery zone calculations - determining where you deliver
  • Customer pickup instructions - helping customers find you
  • Opening hours display - showing when you’re open
  • Local SEO - helping customers find you online
  • Order routing - directing orders to the right location

Setting Up Your Location

Creating Your Location

Most businesses will have their location pre-configured during onboarding. If you need to create or modify it:

  1. Go to Locations in the main navigation
  2. Click “Add Location” (or edit existing)
  3. Fill in your business details

Location Information

Basic Details

  • Location Name: How your location appears internally (e.g., “Main Restaurant”, “Kitchen”)
  • Multi-location support: Available on Enterprise plans. See Plans & Subscription Management for details.

Address

Your complete business address:

  • Address Line 1: Street address, building name (required)
  • Address Line 2: Apartment, suite, unit (optional)
  • City: Town or city (required)
  • Postcode: Postal code (required)

Why this matters:

  • Delivery calculations use your address as the starting point
  • Customer directions rely on accurate address information
  • Legal compliance requires correct business address

Opening Hours

Set when your business operates. This affects:

  • Customer ordering - they can only order when you’re open
  • Delivery availability - orders won’t be accepted outside hours
  • Website display - shows current status to customers

Setting hours:

  • Use the visual time picker for each day
  • Leave days blank if closed
  • Hours can vary by day (e.g., shorter on Sundays)

Note: Your regular opening hours can be overridden by holiday exceptions (see “Managing Holiday Exceptions” below).

Location Status

  • Active: Location can receive orders and appears to customers
  • Inactive: Location is hidden and can’t receive orders

Use inactive status for:

  • Temporary closures
  • Seasonal shutdowns
  • Testing new setups

Managing Holiday Exceptions

Holiday exceptions let you override your regular opening hours for specific dates. This is perfect for:

  • Full day closures (e.g., Christmas Day, New Year’s Day)
  • Recurring holidays (e.g., annual closures that happen every year)
  • Varied hours (e.g., bank holidays with different opening times)

Accessing Holiday Management:

  1. Go to your location details page
  2. Click “Manage Holidays” button
  3. Click “Add Holiday” to create a new exception

Types of Holiday Exceptions:

Full Day Closure:

  • Mark the location as closed for the entire day
  • Perfect for major holidays like Christmas, Easter, or special events
  • Can be set to recur annually (e.g., Christmas always closes on 25th December)

Varied Hours:

  • Set different opening hours for a specific date
  • Useful for bank holidays, early closing days, or special events
  • Example: Normal hours are 9 AM - 9 PM, but on Boxing Day you’re open 10 AM - 6 PM

Recurring Holidays:

  • Set holidays to automatically repeat every year
  • Saves time - set once, applies every year
  • Perfect for fixed-date holidays like Christmas, New Year’s Day, or your business’s annual closure

Creating a Holiday Exception:

  1. Click “Add Holiday”
  2. Select the date using the date picker
  3. Choose “Recur Annually” if this holiday repeats every year
  4. Select “All Day (Closed)” for full day closures, or set specific start and end times for varied hours
  5. Save the holiday

Editing or Deleting Holidays:

  • Edit: Click the actions menu (⋯) next to any holiday and select “Edit”
  • Delete: Click the actions menu and select “Delete”, then confirm

Holiday Examples:

  • Christmas Day: Full day closure, recurring annually
  • Boxing Day: Varied hours (10 AM - 4 PM), recurring annually
  • Bank Holiday Monday: Varied hours (11 AM - 7 PM), one-time or recurring
  • Staff Training Day: Full day closure, one-time event

Location Status Indicators

Open/Closed Status

  • Green dot: Currently open and accepting orders
  • Red dot: Currently closed
  • “Opens at X:XX”: Shows when you’ll reopen

Active/Inactive Status

  • Active: Location is live and operational
  • Inactive: Location is disabled (shows as closed to customers)

Best Practices

Address Accuracy

  • Use your official business address
  • Include landmarks if helpful for customers
  • Keep updated if your address changes
  • Check regularly - delivery drivers rely on this

Opening Hours

  • Be realistic - don’t show hours you can’t maintain
  • Include prep time - customers can’t order right up to closing
  • Account for delivery time - ensure orders can be fulfilled
  • Use holiday exceptions - set up recurring holidays at the start of each year
  • Plan ahead - add holiday exceptions well before the date

Holiday Management

  • Set recurring holidays early - configure annual holidays at the start of the year
  • Use recurring for fixed dates - Christmas, New Year’s Day, etc. should be recurring
  • One-time for special events - use one-time holidays for unique closures
  • Communicate changes - let customers know about holiday hours in advance
  • Review annually - check your holiday list at the start of each year
  • Test holiday hours - verify holidays are working correctly before the date

Location Naming

  • Descriptive names for internal use (“Downtown Location”, “Kitchen Unit”)
  • Customer-friendly names for public display
  • Consistent naming across all systems

Status Management

  • Plan ahead for closures
  • Communicate changes to customers
  • Test thoroughly before reactivating
  • Monitor performance after changes

Troubleshooting

Location Not Appearing

If your location isn’t showing to customers:

  • Check active status - must be “Active”
  • Verify opening hours - current time must be within hours
  • Confirm address - complete address required
  • Check delivery zones - at least one zone needed for delivery

Wrong Address Showing

If customers see incorrect address:

  • Update location address in settings
  • Save changes and refresh
  • Check all address fields are complete
  • Verify spelling and formatting

Opening Hours Issues

If opening status is wrong:

  • Check your timezone settings
  • Verify current date/time
  • Confirm hours are set correctly
  • Check for holiday exceptions - a holiday might be overriding regular hours
  • Test at different times

Holiday Not Working

If a holiday exception isn’t applying:

  • Verify the date is correct
  • Check if holiday is active - ensure it was saved properly
  • Confirm holiday type - full day closure vs. varied hours
  • Check for conflicts - ensure no duplicate holidays for the same date
  • Test the date - verify the holiday appears in your holidays list

Location and Delivery Zones

Your location works closely with delivery zones:

  • Location address is the center point for delivery calculations
  • Delivery zones extend outward from your location
  • Opening hours apply to all delivery zones (unless zones have custom hours)
  • Holiday exceptions apply to the location and affect all zones
  • Location status affects all zones

Holiday Exceptions Overview

Holiday exceptions are a powerful way to manage special dates without changing your regular opening hours. They override your normal schedule for specific dates.

When to Use Holiday Exceptions

Full Day Closures:

  • Major holidays (Christmas, New Year’s Day, Easter)
  • Staff training days
  • Annual maintenance closures
  • Special events that require closure

Varied Hours:

  • Bank holidays with reduced hours
  • Early closing days
  • Special event days with extended hours
  • Seasonal adjustments for specific dates

Recurring vs. One-Time:

  • Recurring: Use for holidays that happen on the same date every year (Christmas, New Year’s Day, your business’s annual closure)
  • One-Time: Use for unique events, special closures, or dates that vary each year

Holiday Management Tips

  1. Set up recurring holidays early - Configure annual holidays at the start of the year
  2. Use descriptive dates - The system shows formatted dates, but you can see the exact date when editing
  3. Plan ahead - Add holiday exceptions well before the date to avoid last-minute changes
  4. Review annually - Check your holiday list at the start of each year and remove outdated one-time holidays
  5. Test before the date - Verify holidays are working correctly a few days before they apply
